Position Summary

This recruitment will be used to fill two full-time Library Technician 3 positions for the Resource Acquisitions and Sharing department in the University Libraries at Oregon State University.

As a member of the Resource Acquisitions and Sharing (RAS) department, the Acquisition Library Technician 3 (LT3) is responsible for responding to patrons’ purchase requests and licensing questions, and working with vendors to acquire library resources in various formats (i.e., print and electronic books, streaming videos, and other media) in a timely manner.

They are responsible for placing orders using various vendor platforms, paying for and reconciling accounts, claiming orders, and addressing system problems with the appropriate company or department. The LT3 is also responsible for maintaining accurate records in the library’s ILS and working with other units to ensure content is accessible to patrons. The incumbent makes independent decisions and/or works with RAS members to develop resolutions to problems related to vendor and customer relationships, and work flows.

Position Duties

45% – Customer service, ordering and receiving:

The LT3 responds to and follows up on any questions or purchase request emails from OSU or ILL patrons. The LT3 is responsible for ordering and receiving firm ordered physical and electronic material, including the processing of invoices for payment. Purchasing decisions are made after considering collection development guidelines, and evaluating vendor licensing and pricing models. This position will also receive, process and troubleshoot material supplied through the Approval program, which will require knowledge and application of cataloging best practices.
The LT3 is responsible for purchasing material, processing invoices and entering orders into ILS. They will enter orders, terms, and relevant information for each purchase into the ILS. Timing and accuracy is important as other stakeholders are part of the workflow need the information to complete item processing and to ensure accurate reporting.

40% – Account reconciliations and record maintenance:

This position is responsible for balancing purchase cards and gift fund balances on an ongoing basis for on-demand or year-end reports. The LT3 is responsible reconciling patron driven and deposit accounts to ensure expenditures are accurate for business center reporting and, when needed, to justify request for additional funds from RAS director.
Collaborates with Library faculty and staff, and vendors to create and update acquisitions records in a variety of OSU databases (Business Center, Foundation system, and Library systems) for all resources purchased. Evaluates licensing lending terms for firm ordered eBooks and streaming videos and enters information into the ILS to ensure terms and conditions are accessible to patrons. Reviews and monitors consortium, publisher and vendor announcements for system problems, system enhancements, or changes in content that may impact the library.

10% – Departmental expectations:

As a member of the OSU Valley Libraries and Press and the department, time will be spent in meetings and on committees/task forces contributing to discussions and decision making, and working on special projects. Provide backup for other staff in the department. Maintain personal calendar, honor appointments, and communicate in a professional, effective, and timely manner with stakeholders at all levels.

5% – Collection Development:

Responds to requests from Collection Development to investigate content, pricing models, and licensing restrictions for resources under consideration. LT3 is encouraged to evaluate trends in acquisition’s resources, patron needs, and present suggestions for improving workflow and procedures to the unit manager and director.

Minimum Qualifications

Bachelors degree plus two years of current (within 5 years) experience in a Library; OR 4 years of current library experience. AND Advanced proficiency in multiple library specific computer applications, e.g., integrated library systems, database applications, institutional repository; content management systems. Some positions may also require in-depth knowledge of specialty area(s), e.g., original cataloging, complex copy cataloging, serials management, ILL management, government documents, image resources, music.

Additional Required Qualifications

Minimum two-years’ experience, within the last five years, processing monograph firm orders (i.e., print and electronic books, streaming videos, DVD, etc.).

Minimum of one-year experience using financial databases to reconcile purchases.

General knowledge of and practical experience with ordering, bibliographic, and cataloging rules.

Able to use online bibliographic and financial databases (OCLC, vendor databases, integrated library system, and Banner FIS) in daily problem solving.

Preferred (Special) Qualifications

Intermediate knowledge of Microsoft Word, Outlook and Excel.

Accuracy, productivity and thoroughness are essential.

Experience with serial invoicing & ordering is preferred.

Strong communication skills in a variety of formats with library staff, clients of the library, and vendors.

A strong customer service orientation.

Working Conditions / Work Schedule

The person in this position will often be required to lift and carry objects weighing up to 20 lbs.
